This Privacy Policy explains how Systems Intelligence, LLC (“we,” “us,” or “our”), the company that operates the Sysdom AI website, handles personal information through the website, early-access forms, newsletters, and related communications.

01 // WHO CONTROLS YOUR INFORMATION

Systems Intelligence, LLC is the controller of personal information collected for its own website and business purposes. A separate signed agreement may apply if we later process information on behalf of a customer.

02 // INFORMATION WE COLLECT

We collect information you choose to provide, such as your name, email address, company, message, newsletter or early-access request, and the content of communications with us. We may also receive basic technical and security information, such as IP address, browser or device type, timestamps, request logs, and aggregate cookieless Framer analytics. Please do not submit confidential or sensitive information through public forms unless we specifically request it.

03 // HOW WE USE INFORMATION

We use personal information to respond to requests, manage early access, send information you asked to receive, operate and secure the site, diagnose errors, understand aggregate performance, improve our content and services, prevent abuse, and meet legal obligations.

04 // LEGAL BASES

Where a legal basis is required, we rely as appropriate on your consent, steps taken at your request before entering a contract, our legitimate interests in operating and improving a secure business website, and compliance with legal obligations. You may withdraw consent at any time, without affecting earlier lawful processing.

05 // SHARING AND SERVICE PROVIDERS

We may share information with providers that help us host the site, process forms, deliver email, maintain security, or operate the business, subject to appropriate contractual and confidentiality obligations. We may also disclose information when required by law, to protect rights or safety, or in connection with a corporate transaction. We do not sell personal information or share it for cross-context behavioral advertising.

06 // RETENTION AND SECURITY

We retain personal information only as long as reasonably necessary for the purposes described here, including legal, accounting, security, and dispute-resolution needs. We use reasonable administrative and technical safeguards, but no internet service can guarantee absolute security.

07 // INTERNATIONAL TRANSFERS

Our providers may process information in countries other than your own. Where required, we use recognized transfer mechanisms and safeguards appropriate to the service and jurisdiction.

08 // YOUR RIGHTS

Depending on where you live, you may have rights to access, correct, delete, restrict or object to processing, receive a portable copy, withdraw consent, or complain to a data-protection authority. We may need to verify your identity before fulfilling a request, and some rights are subject to legal exceptions.

09 // CHILDREN

The site is not directed to children under 18, and we do not knowingly collect their personal information through the site. If you believe a child has provided information, please contact us.

10 // VENTURE REVIEW AND CONNECTED ASSISTANTS

When you prepare a Venture Review on the web, your note stays in the current page until you approve the review and is not automatically saved in your browser. We process only the evidence you select and approve, which may include your note, optional public website or public GitHub repository URLs, and public material retrieved at your request. Do not submit passwords, API keys, personal identifiers, private customer data, or other sensitive material.

When you use hosted MCP tools, selected notes enter short-lived Sysdom bridge memory after you approve hosted staging and before the separate model-submission approval. The bridge cannot automatically read your workspace, repository, or conversation. The calling assistant host and model can see the selected evidence and temporary review capability; its transcript may retain them under the host’s own terms even after the Sysdom session expires or is cancelled.

After you approve model submission, the interface identifies the actual recipients. The current model route uses zero-data-retention controls. We use approved evidence only to provide the requested review, which may include supported findings, unknowns, alternative explanations, and one bounded next test. Review content is not published or used to train AI models.

Requesting early access is optional and separate from the review. If you opt in, we may retain the contact details and editable summary you submit; the summary is limited to 2,000 characters. We do not automatically submit an access request or hide the review result.

Downloaded exports are saved only where you choose. Server expiry or cancellation clears staged Sysdom review data but cannot recall information already transmitted for processing, user-saved exports, or assistant-host transcripts. Operational logs, usage accounting, early-access requests, backups, analytics, and statutory records are retained under separate schedules appropriate to their purpose.

Routine diagnostic and security logs are retained for up to 30 days, except where a documented security incident requires longer preservation. Reconciled itemized review-usage records are retained for up to 90 days, while unresolved or current accounting records remain protected until reconciliation. Raw analytics are retained for up to 90 days. Inactive early-access requests that do not convert are retained for up to 12 months after the last meaningful founder contact; active accounts and newsletter subscriptions follow separate lifecycles. Restricted backups expire within 30 days, and approved deletions are reapplied after a restore. Corporate invoices and other statutory accounting records follow separate legal requirements.
